In Champ, go to the Client Search screen. Pull up the clients that you were trying to check out, one at a time. Look to see if there is a check mark in the Chart Out field in the bottom left corner. If it is there, go to the Custom menu, and select Clear Chart Out. Then try to check the chart outs. If the transfer completes successfully, go to your local machine and make sure the charts are there.

If this does not resolve the issue, please contact Champ Support, to have instructions sent to your IT staff to fix.
Microsoft has tightened their security quite a bit with a Windows XP Update. One of the things affected is our helpi system. We store our help files (they have an extension of .chm) on the same server that has the CHAMPWIN folder on it. All of your office machines run Champ via a network drive that is mapped to that server. The help files are stored in the HLP folder inside the CHAMPWIN folder. The security that Microsoft implemented does not allow a user to open these help files over a network connection; they may only open the files locally on their computer. Here are two workarounds that we recommend.
  • Copy the HLP folder to the local machine and open the file called CHAMP_02.chm whenever you want to access the help files.
  • Use the Manual CD shipped along with your installation CD; this contains PDF versions of the HELP files.
When you install the Champ server software it automatically installs the SQL databases to your local C: drive without giving you the option to install them anywhere else. You may want to move your database files to another drive to free up space on your C: drive or to improve your SQL server efficiency. Click here to see the instructions. (PDF 145KB)

This document outlines the process to take when moving the Champ server software from one server to another server. This will usually be done when replacing a server or purchasing a second server specifically for Champ. Please click here to view the document. (PDF 43KB)

Champ is usually a very responsive program. If you notice screens seem to be loading slowly, please follow the instructions below to check the most common reasons for Champ running slowly.
  1. The most common and overlooked problem is anti-virus software. Please ensure the Champ server is not scanning the files in the CHAMPWIN directory every time they are opened. Also ensure that your office workstations are not ever scanning the network drives. There is usually a setting to disable the scanning of network drives. If there is not, simply exclude the network drive that Champ uses from being scanned.
  2. Consider increasing RAM.
  3. You could increase the virtual memory to maximum.
  4. You could do a disk cleanup, disk fragmentation, and clear out the Temp folder.
  5. If a user is maximizing screens in Champ, stop doing that. There is a delay for every screen as it resizes.
  6. If you are using hubs on your network, you might consider going to switches, which are faster than hubs.
  7. Things like spyware can slow down PCs. Your IT support should be handling that.
  8. Simply rebooting your PC on a daily basis is a good thing to do too.
Note: If things are still running slowly please double check your Anti-Virus software settings on the server and office workstations (as this is the most common problem by far) then call Champ support at 507-388-4141

The following is where you would change the setting in Symantec anti-virus; your anti-virus software may differ. Also make sure that you Exclude the CHAMPWIN folder on the server.

This error displays when an error occurs during a client transfer. There are many reasons why this error is displayed. Please follow the steps below to troubleshoot the issue. If you don’t find the error you received below, please send email to support@champsofware.com, including the champ_repl.log and champ_repl_err.log files.

Wrong dates result when dates are not synchronized in several screens used to build the RAP.

Please check the two Billing screens that are used for Medicare RAPs. The HHRG screen has a date for the OASIS, and the PPS screen has a date for the Episodei From based on the 485 Cert From.

The Statement From date on the claim is usually pulled from the Episode Start on the PPS screen, but the HIPPS date is pulled from the HHRG screen. With a RAP for a recert date, the HIPPS date will be pulled from the date of the first visit in the daily screen.

The solution is to check the dates on the screens that are involved in building the RAP.

Billing HHRG Screen
  1. If this is a recertification assessment, see if the OASIS assessment is outside the 5-day window.
  2. If you click "ignore SCIC" on the Billing HHRG screen, that causes that HIPPS and treatment authorization code to be ignored.
  3. Verify that there are no future dates.
Billing PPS Screen
  1. Verify dates of the episode match the 485 Cert From and Cert To dates.
  2. Verify that the dates cover a 60-day episode.
  3. Extend the dates on the PPS screen to the original episode dates.
  4. Avoid a gap in the dates (Episode Start and Episode End) from one episode to another.
  5. Make Episode Start and Episode End dates consistent between Cert From and Cert To for a given episode.
  6. Verify that there are no future dates.

Dailies Screen
  1. Do the Pay Sourcei Summary report, the Client and Pay Source Report, the Electronic Billing Summary Report, which you probably normally do not print, show any pay code of just ** ** instead of, for example ** 02 Medicare **? If the answer is YES, you probably have no Dailies for this client for this pay code for these dates.
  2. Go to Daily and do a quick filter for this month and verify that there are entries with the Medicare pay code.

Billing Eligibility Screen
  • Is this client still really a Medicare client or is this client no longer a Medicare client? To verify this: Go to the Billing, Eligible Pay screen and verify client is still eligible for Medicare.
This error occurs when settings are missing from BDE Administrator. This most often is a result of uninstalling CHAMP and reinstalling it.

To correct this:
  1. Open the BDE Administrator, found under the Control Panel.
  2. Under the Configuration Tab you will see Drivers and System. Click Drivers, then Native, then select DBASE, you will see the following:

The settings you may need to change here are:

    •  LANGDRIVER- Software uses dBASE ENU cp437
    • LEVEL- use Level 5.

  3. Click System, and then select INIT you will see the following:

The settings you may need to change here are:
  • DEFAULT DRIVER - use DBASE
  • LANGDRIVER -  change it to dBASE ENU cp437
This error occurs when a new window’s user is added. This is most often a result of a nurse using a computer for the very first time. To correct this:
  1. Go to C:\champwin\binsql .
  2. Right-click on the file called Champ_config.exe (see image below).
  3. Select Open
Note:  If you are prompted with a message that says “System administrator must set up server access”, then you must have someone from your IT department run Champ_config.exe.
This message can have several potential causes. Please click here to read the Microsoft KB article regarding this error.
If your SQL Server has been upgraded to Service Pack 4, and the laptops are not also at SP4, it can cause slowness/freezing of transfers. The laptop installation package includes MSDE SP3a, so unless they have been upgraded, they would be at 3a.

Do you know if your SQL Server has been upgraded? To check it, go into Query Analyzer, type in and run the following command:

SELECT  SERVERPROPERTY('productversion'), SERVERPROPERTY ('productlevel'), SERVERPROPERTY ('edition')

If it at SP4, it would be good to upgrade the laptops as well. The download and instructions for MSDE SP4, please click here

After you are done downloading SP4, there are a few additional steps that the Microsoft site does not include:

Upgrade MSDE to SP4

After you download and run sql2ksp4.exe, it extracts the files to C:\sql2ksp4
  • Open cmd prompt
  • Browse to C:\sql2ksp4\msde\

Run this MSDE SP4 Upgrade Command:

setupi /upgradesp sqlrun SECURITYMODE=SQL UPGRADEUSER=sa UPGRADEPWD=304zc78dybD14j /L*v C:\MSDELog.log

And then verify that the laptop is SP4:

Open cmd prompt

  • Type: cd \
  • Type: osql –E
  • Type: SELECT SERVERPROPERTY('productversion'), SERVERPROPERTY ('productlevel')
  • Type: go
Scroll back up about 1/2 way and you should see 'SP4.'

After SP4 is done on the laptops, trans_setup.exe should be run from C:\CHAMPWIN\BINSQL.

"Nightingale Notes is awesome! The nurses "Love It!" This is the first computer program they have done
besides Outlook. By the end of the first month I kept hearing how they love it. They are even pushing
now to get laptops so they can take them in the homes. The time savings and accuracy has already
started. I cannot think of anything that would even make me question doing this again."

Happiest User Ever!
Pam Stevenson
Acct. Tech., Becker County Community Health

"One of our favorite aspects of Nightingale Notes is the fact that we can access the software wherever there
is an internet connection. We love the ability to create custom tabs in NN - a feature we are already using
and plan to use even more in the future"

Nurses from Douglas County, MN

Bismarck Burleigh Public Health chose Champ because we were looking for an electronic health record which would fit our needs, programsi and work flow; we did not have to adjust our work process into an
offered structure. We wanted the program to be web based so it worked for all of our programs, including
home health and schools. Our staff wanted to get away from duplicate documentation for charting and
billing. We were also looking for a way to collect outcomes, including for community based programs,
and BBPH found the Omaha System and Nightingale Notes is able to meet all of these needs.”

Paula Flanders, Public Health Director for Bismarck-Burleigh
